Receipt capture for sports event expenses

The problem was never capturing receipts. It is knowing which costs are still missing one.

How directors handle this today

Photographing receipts is easy, and almost everyone does it. What follows is where it breaks down. The photographs go into a camera roll, a notes app, a dedicated folder, or an email to oneself — and they sit there, disconnected from the expense they support.

At year-end the director has two piles: a list of costs, and a collection of images. Matching them is manual, slow, and never completed. The genuinely damaging part is not the unmatched receipt; it is that there is no way to see which expenses have no support at all. An expense with a missing receipt looks identical to an expense with a filed one until someone goes looking.

Receipts that arrive before their expense record does not have to be lost. The receipt inbox holds them until they are matched, so capturing something in the moment is useful even when there is no time to file it properly.

Missing-receipt counts appear next to business expense totals. This is the feature that changes behaviour: a visible count of unsupported costs is an actionable number, whereas an unexamined folder of images is not.

What it produces at the end of the year

Every expense that has support carries it, and every expense that does not is already identified — while there is still time to do something about it. That is the difference between a records position you can defend and one you find out about under deadline.

Requirements for what constitutes adequate expense support vary by jurisdiction. Sport Margin stores and organises the records you attach; it does not determine what is deductible or provide tax advice.

The operating-cost line is the one that accumulates receipts — equipment, signage, supplies, refreshments. Each row in it either has a receipt attached or shows up in the missing-receipt count. Nothing sits in an ambiguous state.

What this does not do

Sport Margin does not decide what is deductible. It stores and organises the support you attach, and shows you where support is missing — the judgement about what qualifies remains yours and your accountant's.

It also does not remove any obligation you may have to retain original documents. Requirements for record format and retention period vary by jurisdiction; treat what is stored here as your working set, and keep originals wherever you are required to.
